- C A N S is an industrial strength rolodex and tickler file
- system - yet it is tame enough for anyone to use.

- C A N S takes productivity to the MAX !

- C A N S goes far beyond mailing labels and appointment
- scheduling.

- C A N S provides on-line help for all critical prompts.
-
- C A N S allows you to bypass the main menu for quick access to
- your Names and Appointments. The system requires very few
- 'special' key strokes. Virtually ALL 'special' keys are displayed
- for you on the screen at the time they are active.
-
- You may maintain important dates for business, taxes, etc.
- indefinitely.
-
- You can set-up your own JobJar within C A N S for non-scheduled
- 'to do's' - and delete them when YOU want to!
-
- C A N S will roll designated dates forward to next year so that
- you enter recurring annual events only once.
-
- You may retrieve appointments either by date OR by having C A N S
- search for key words or phrases included by you in the
- appointment.

- View your appointments on your monitor or print them 'hardcopy'.
- You may print appointments on a separate page for each day of any
- time frame (weekly, monthly, etc.)- - whatever suits your needs
- the most.

- C A N S alerts you to potential scheduling conflicts and even
- allows you to browse through your calendar to find an appropriate
- time which will accommodate your needs.

- You may even have C A N S report your daily activities to you on
- demand - at the 'c prompt'. Place the appropriate command in your
- autoexec.bat file and let C A N S inform you first thing each
- morning of your schedule for that day ALONG WITH activities
- scheduled for succeeding days for which you have requested lead
- time!

- C A N S rolodex allows you to maintain an extensive name file -
- both in the number of entries and also, the data you most want
- to keep with a contact. You may archive names which you do not
- frequently use, clean-up your rolodex for more efficient use,
- and then retrieve these archived names WHEN YOU WANT THEM.

- You may organize and 'work' your names in groups of related
- entries. Virtually all of C A N S' utilities and reports are
- based on natural groupings as determined by you.
-
- You may even make appointments from within your rolodex.
-
- Document events from within your rolodex based on the
- current date and time.
-
- And, of course, C A N S allows you to print mailing labels,
- rolodex cards, and even create a disk file of your names suitable
- for mail merges with many popular word processing systems.

- Included in this package is a file you may wish to use to
- facilitate mail merges utilizing Wordperfect (ver. 5.1). Creating
- a secondary file has never been so easy!

- Definition of SHAREWARE
-
- Shareware distribution gives the users a chance to try software
- before buying it. If you try a Shareware program and continue
- using it, you are expected to register. Individual programs
- differ on details - - some request registration while others
- require it, some specify a maximum trial period. With
- registration, you get anything from the simple right to continue
- using the software to an updated program with printed manual.

- Copyright laws apply to Shareware and commercial software, and
- the copyright holder retains all rights, with a few specific
- exceptions as stated below. Shareware authors are accomplished
- programmers, just like commercial authors, and the programs are
- of comparable quality. (In both cases, there are good programs
- and bad ones !) The main difference is the method of
- distribution. The author specifically grants the right to copy
- and distribute the software, either to all and sundry or to a
- specific group. For example, some authors require written
- permission before a commercial disk vendor may copy their
- Shareware.

- PACKING LIST

- The following 14 files are included :
-
- Main.EXE - The C A N S executable program. This program will
- create 2 additional files - Calendar.MDB and Names.MDB. These are
- the files that will contain your data. A third file, Archive.MDB,
- will also be created if you wish to use the archiving features of
- C A N S.
-
- Cans.BAT - This is a batch file which loads the Terminate Stay
- Resident (TSR) program necessary to run Main.EXE.
-
- Proisamd.EXE - The TSR noted above which "drives" Main.EXE along
- with the following 2 files.
-
- Isampack.EXE - A utility which compresses your data files after
- deletions have occurred. Its use is more fully explained below.
-
- Isamrepr.EXE - A utility which may be utilized in the event
- damage occurs to your data files (brown outs, etc.). You will be
- alerted to its need by the system. Its use is also more fully
- explained below.
-
- Pack.BAT and Repair.BAT - 2 batch files which load the TSR and
- run the appropriate operation for you. These bat files are
- started at the 'c prompt' and are not available while C A N S
- is running.
-
- Pack.BAT creates a backup file of the file being compressed
- BEFORE the compression begins.
-
- To run the compression operation, at the 'c prompt' key :
- pack Calendar (or)
- pack Names (or)
- pack Archive
- and then press ENTER.
-
- To run the repair operation, at the 'c prompt' key :
- repair Calendar (or)
- repair Names (or)
- repair Archive
- and then press ENTER.

- Install.DOC - Notes on a quick installation.

- Wincans.EXE - A Windows (3.1) launch pad for C A N S.

- Manager.MDB - A file containing, among other things, all the help
- messages. C A N S will NOT operate without this file in the
- 'current working directory'.
-
- In the event you fail to copy this file to the 'current working
- directory' (i.e., an alternate configuration), C A N S will still
- attempt to open this file. In this attempt, C A N S will actually
- create a file named 'Manager.MDB'. This file will NOT have the
- essential data necessary for C A N S to operate. You would then
- simply copy the valid 'Manager.MDB' to your alternate directory.
-
- Cansutl.EXE is an executable file which automates the 'packing'
- and 'repairing' noted above. This program may be initiated at the
- 'c:prompt' by keying cansutl and pressing ENTER. You may also
- include this program in any batch file (i.e., Cans.BAT).
-
- You can't overuse cansutl.exe!
- If you find that your use of C A N S is occasional, you may wish
- to include the cansutl command within Cans.BAT.
-
- If, however, you tend to use C A N S frequently or your data
- files are relatively extensive, consider placing the cansutl.exe
- command in a daily exiting routine which you might run
- immediately before 'shutting down' for the day.
-
- Namesmrg.MST - A master file that may be used in a mail merge
- operation in conjunction with Wordperfect (ver 5.1). This will
- be explored in greater detail in the section of this document
- covering the utilities offered by C A N S.
-
- First.BAT - A batch file which may be inserted in your
- autoexec.BAT either 'as is' or line by line (depending upon which
- version of DOS you use). Please see your DOS manual for extended
- instructions.

- INSTALLATION
-
- Installing C A N S is as simple as locating all of the files in a
- single sub-directory. For purposes of this document, I will
- assume the sub-directory 'c:\cans'. You may, of course, use any
- directory name that suits your needs. The file, Cans.BAT, is set
- to operate in the directory 'c:\cans' so that if you choose to
- use another sub-directory, you will need to modify Cans.BAT (and
- other batch files) appropriately.
-
- In addition, Cans.BAT and First.BAT may be located in a directory
- other than 'c:\cans' provided that your PATH is set to search for
- that directory.
-
- Some computer users establish a separate directory for batch
- (BAT) files and include that directory in their PATH statement.
- This enables you to 'call' C A N S from any directory on your
- hard disk.
-
- Cansutl.EXE expects to find essential files in 'c:\cans'
- sub-directory. If you choose to locate C A N S in a sub-directory
- other than 'c:\cans', Cansutl.EXE will NOT work for you.
- You must instead use pack.bat and repair.bat after modifying
- these files for the correct current working directory.

- Please see the appendices for alternate installation suggestions
- and possibilities.

- ACCESSING C A N S
-
- C A N S may be accessed in any one of 6 ways :
-
- A) Using Cans.BAT with no arguments. This method takes you
- to the main menu. This is the only way to access the main
- menu.
- Example :
- Enter at the 'c prompt', 'cans' and then press enter.
-
- The menus may be manipulated by either using the UP / DOWN
- arrow keys OR by pressing the highlighted letter for the
- desired menu choice.
-
- B) Using Cans.BAT with arguments in the following ways
- bypasses the main menu for quick access :
-
- i) cans a - Takes the user directly to the portion of
- C A N S for making/updating your Appointments file.
-
- ii) cans n - Takes the user directly to the portion of
- C A N S for entering/updating your Names file.
-
- iii) cans v - Displays appointments on the monitor for
- that day (based on the system clock/calendar).
- If your version of DOS allows, you may enter
- 'call cans v' (without the quote marks) in your
- autoexec.BAT file so that your schedule is
- presented to you each morning when you turn on
- your computer. First.BAT, included in this
- package, does this for you.

- iv)
- a) cans 'name' (where 'name' represents an entry
- in your Names file). Takes the user directly
- to the portion of C A N S for updating/viewing
-
- entries in the Names file, displaying the first entry
- to match 'name'. 'name' must consist of 2 or more letters
- but does not have to be the entire entry in your Names
- file.
-
- b) cans *'name' Attempts to locate the entry with
- the Surname matching 'name' ( as described above ).
-
-
- Please note that these last 5 methods to enter C A N S
- are limited - for the most part, you are not allowed
- beyond that portion you access directly.
-
- C A N S may also be installed on Windows as a non-
- Windows application. All of the above configurations will work
-
- as a non-Windows application with the exception of the last 2.
-

- GENERAL NOTES
-
- C A N S allows you to "back-track" or retrace your steps through
- the menu by using the 'escape key' (or you may alternately use
- the Function 1 (F1) key).
-
- C A N S offers 'full screen' processing for most data entry
- screens. This means that you may use the UP/Down arrows to
- navigate the input screen. The exceptions to this are :
-
- Names, edit mode : C A N S prompts you for the line
- to edit. In effect, there is no navigating required.
-
- Appointments, add and edit mode : Input of the date,
- time and duration require sequential input so that C A N S
- may :
-
- Alert you to any potential conflicts early on so you don't
- waste time inputing data and THEN find a conflict.
-
- Present your Calendar based on the date you just entered
- within a window which allows scrolling.
-
- C A N S utilizes the 'overstrike' edit facility. In order to
- insert a character, you must first position the cursor at that
- point at which you wish to place the character, press INSERT and
- then enter the character.
-
- Other Function keys are available when displayed on the monitor.
- They are :
-
- F2 - Start Over. If you are partially through making an
- entry and decide you don't like what you've entered,
- press F2. C A N S takes you back to the beginning of the
- entry, deletes what had been entered and allows you to
- start over. Any material you may have keyed in for that
- specific entry is lost.
-
- F3 - Toggles between ADD mode and EDIT mode in Names and
- Appointments.
-
- F4 - Erases the entire line which the cursor is on at the
- time you press F4.
-

- F5 and Alt+F5 - F5 allows the user to make an appointment
- from Names, without having to exit Names. Alt+F5 allows
- the user to document an event (possibly a telephone call,
- etc.) from Names. Both of these keys are discussed in more
- detail in the section on Names.

- F6 and Alt+F6 - F6 toggles the index in the Names file so
- that you may retrieve entries by either the first name or
- surname.
-
- Alt+F6 highlights that portion of the name which you have
- established as the surname.
-
- F7 - Commit. In Names and Appointments, this key tells
- C A N S to accept the data as input, whether in EDIT or ADD
- mode.
-
- F8 - Previous. In edit mode, displays the previous entry. If
- your scrolling activity 'runs off' the beginning of your
- file, C A N S will beep to let you know and recycles to the
- end of the file.
-
- F9 - Next. In edit mode, displays the next entry. Useful for
- scrolling through your names or appointments. If your
- scrolling activity 'runs off' the end of your file, C A N S
- will beep to let you know and recycles to the beginning of
- the file.
-
- F10 - Delete. Deletes an ENTIRE entry from your Names
- or Calendar file.
-
- ALT+F10 - In Names, EDIT mode, deletes the corresponding
- entry in the Archive.MDB file if the entry exists in the
- Archive.MDB file. C A N S will compare the Name - 1st Line
- in the 'working' Names.MDB to the entries in Archive.MDB in
- an attempt to make a match. If an exact match is made, then
- BOTH entries are deleted; otherwise, only the entry in your
- 'working' rolodex is deleted.

- ALT+V - The alt key pressed SIMULTANEOUSLY with 'v' in
- Appointments at the time input line will open a window
- which you may use to 'scroll' your appointments.
- A message will appear in the upper right hand portion
- of the screen when this facility is available.
-
- ALT+H - Provides on-line help. A reminder in the upper
- right hand section of the screen or dialog box will let
- you know Help is immediately available.

- DATA INPUT SCREENS - Names AND Appointments
-
- Both Names and Appointments 'open' in EDIT mode. C A N S assumes
- that after a point you will be accessing C A N S more to retrieve
- previously entered data than enter new items.
-
- The screens in EDIT mode and ADD mode are virtually identical in
- appearance. The active mode is indicated at the top center of
- each screen.
-
- In addition, in EDIT mode, in both Names and Appointments,
- C A N S is prompting you for an item to view or edit.
-
- Please note that when searching for an item to retrieve in
- response to your request, C A N S will return an item that is
- either 'equal to or greater than' your prompt. With the exception
- of C A N S requirement that you enter 2 or more letters when
- accessing C A N S from the 'c prompt' to retrieve a name, this
- discussion in concept is applicable to Names - EDIT mode, and the
- quick access for Names.

- Example -
- Suppose that you have the following first names in your rolodex :
- Jack, Jamie, John, Jon
-
- If you enter at C A N S prompt in edit mode "J", C A N S
- would return Jack.
- If you enter "Ja", C A N S will again return Jack.
-
- C A N S operates in this manner in either 'index' - that is,
- when it searches for the first name OR surname.
-
- If, at C A N S' prompt for an entry in either Names or
- Appointments, you press the 'ENTER' key with no entry made by
- you, C A N S returns the first entry in your file. You may, at
- any point, use the function keys F8 and F9 to scroll through your
- file.

- In Appointments, - EDIT mode, C A N S prompts you for the date of
- the event you wish to review. If you know the exact date, enter
- that date. However, you may wish to enter a date a few days in
- advance of the date you believe to be the actual date you want
- and then scroll forward to be sure.
-
- After you have completed the date, C A N S then expects you to
- specify a time. If you know the time, enter that time. If you are
- unsure of the time, you may enter 0 (numeral) and C A N S will
- return the first event for that date. You may then have C A N S
- scroll through your calendar to locate your appointment.
-
- Alternatively, you may ask C A N S to open it's window and show
- you all scheduled events for any given day by pressing ALT+V when
- the cursor is positioned on the time input line (after first
- giving C A N S the date).
-
- You may scroll through that day's appointments by using the
- UP/DOWN arrows, if your calendar is sufficiently full. You may
- also use the function keys F8 and F9 while within the window
- to scroll to the previous/next day.
-
- Please beware - When in C A N S' window in EDIT mode, the date
- which results from your scrolling is the date C A N S uses to
- add or update your appointment.

- The remainder of this document is sub-divided according
- to the menu system. In these sections, each menu item will be
- covered in more detail.

- CALENDAR
-
- Project-a-Month - C A N S allows you to view any month from
- January, 1980 through December, 2100 inclusive.
-
- C A N S prompts you for a date. The acceptable date formats are :
-
- MMYY - Example : 0692 for June, 1992
- or
- MMYYYY - Example : 032010 for March, 2010
-
- When you use the shortened version, C A N S assumes the
- 20th century and adds 1900 to the YY as supplied.
-
- If you should use any other format or dates outside the
- indicated ranges, C A N S will beep and issue a friendly
- reminder that you have not used the proper format.
-
- Days Between 2 Dates - C A N S will calculate the number of days
- between 2 dates when you provide the dates in the proper format
- and range.
-
- Format -
- MMDDYY - Example : 062692 for June 26, 1992
- or
- MMDDYYYY - Example : 03152010 for March 15, 2010
-
- Range -
- January 1, 1980 through December 31, 2010, inclusive.
-
- C A N S provides 2 active function keys :
- F1 - C A N S terminates your session, as does the
- escape key (ESC).
-
- F2 - C A N S permits you to start your current
- entry over. The existing entry is erased.

- Calendar Arithmetic - C A N S will perform addition and
- subtraction to dates provided by you and return the
- resulting date.
-
- The proper formats and range along with the active

- read the following thoroughly before getting too far along
- into APPOINTMENTS.

- The essential elements of an appointment are the date and
- event. C A N S will accept no less!

- You may use C A N S reporting feature to list appointments
- based on a key word or phrase. In developing your own
- personal approach to making appointments, this selective
- function of C A N S will enhance your ability to retrieve
- dates and appointments by grouping, subject matter,
- individual name, etc; limited only by your imagination!
-
- Please note - - When accessing Appointments from the main
- menu, C A N S goes directly into EDIT mode. You may, of
- course, change to ADD mode.

- The elements of an appointment are :

- Date
- Format - MMDDYY - Example : 021591
- MMDDYYYY - Example : 07252010

- Range - January 1, 1980 through December 31, 2100

- C A N S will return the appropriate date in the

- NOTE : Many dates do not require a time (i.e.,
- Mom's birthday) and so C A N S permits
- appointments with no time. However, you must
- enter a 0 (number, zero) to indicate to the
- system that no time is desired for this

- When in EDIT mode, you must enter a date and time both in valid
- form to retrieve an appointment which matches those
- parameters or the next appointment in line chronologically.

- Example :
- You wish to see the first appointment for May 5, 1993.
- Enter '050593' for the date, 0 (numeral) for the time -
- C A N S presents the first appointment that is equal to
- or later than those parameters. If no appointment has
- been made for May 5, 1993, C A N S will locate the next
- appointment and present it to you.

- If you wish to merely 'scroll' through your appointments, you
- may of course use the appropriate function keys (F8, F9)
- without the need to enter a date and time.

- Once C A N S presents the appointment on the monitor (in EDIT
- mode), you may press ENTER at the date input line and, also,
- at the time input line to advance to the portion of the
- appointment you wish to edit or update.

- When adding or updating Appointments, you may have C A N S
- display appointments for any given day in a window
- when the cursor is positioned at the time input line.
- Simply simultaneously press ALT+V and C A N S will
- display your appointments for that day or alert you that
- your CALENDAR IS EMPTY.

- In addition, you may 'scroll' within this window to earlier
- or later dates by using the F8 and F9 keys, respectively.

- You may also 'scroll' the appointments WITHIN the
- window by using the up arrow, down arrow, page up and page
- down keys.

- PLEASE BEAR IN MIND, the date which results from your
- 'scrolling' activity is the date which C A N S uses to
- ADD your appointment or update an existing appointment
- in EDIT mode.

- Duration
- Use this feature to record the anticipated length
- of the appointment. If you attempt to make an
- appointment at a later time which conflicts with
- this one, C A N S will warn you of the potential
- conflict but will NOT prevent you from completing
- the appointment as you entered it.

- returns 1 Hr 25 Mins

- Range - Minutes may not exceed 59.
- Hours - 1 to 12, inclusive.

- C A N S cannot accept an appointment which extends
- to the next day (i.e., an 11.00 P.M. start time

- Lead
- C A N S provides reports of your appointments on
- the date of the appointment. However, if you
- would like to 'look ahead', C A N S is able to
- report upcoming activities. Tell C A N S how much
- lead time (in days) you wish and it will alert you
- of the upcoming event for each of those days when
- you access C A N S using the 'cans v' command.

- Range - 0 to 365 days.

- Perm
- C A N S utilities provide means to delete
- appointments in blocks as they become stale.
- (You may, of course, delete individual
- appointments in the edit mode by pressing function
- key 10 (F10) ). C A N S is able to retain selected
- appointments during this process based on your
- needs.

- C A N S also provides selective reporting based
- on your PERM designation. You may exclude certain
- types of appointments.

- C A N S recognizes 5 types of permanency, 4 of
- which you may enter/edit. The 5th type is entered
- for you during DocuDate (explained further in the
- section on Names) and cannot be updated or
- changed. It may, however, be deleted by pressing
- the F10 function key.

- Blank - No entry is required. Typical
- examples of this are : lunch with Bob,
- tennis lesson, staff meeting, etc.
- These appointments will be erased during the
- deletion process.

- JobJar - Enter an "A" (without the quote
- marks). Use this type of appointment for
- non scheduled reminders; i.e., get hair cut,
- wash car, clip hedges,etc.

- You may enter a time for this activity.
- However, C A N S will set the time to '0'
- when you commit the Appointment.
- These events may be deleted ONLY by using
- the F10 function key in EDIT mode.

- C A N S will automatically update all
- events to the current date based on the
- system date. You are not required to
- manually perform this task.

- Permanent - Enter a "P" (without the quote
- marks). Use this type for recurring ANNUAL
- appointments which you wish to retain
- indefinitely. Typical examples include :
- Aunt Bertha's birthday, Mom and Dad's wedding
- anniversary, etc.

- During the deletion process, C A N S will
- roll the entry forward to next year.

- Tax, Travel - Enter a "T" (without the quote
- marks). Use this type to document any
- appointment for indefinite retention.

- During the deletion process, C A N S will
- give you the option to delete "T" entries.

- NOTE : This is an excellent means to
- assist salespersons in retaining travel
- information for tax purposes and, also,
- maintaining a history of sales calls
- made.

- You may consider starting a Calendar.MDB
- file the first of each year and, in
- effect, archiving your appointments on
- an annual basis.

- Simply copy the Calendar.MDB to a
- separate directory or floppy disk; then
- delete any "T" entries in your 'working
- copy' of Calendar.MDB.

- Event - Required entry to complete an
- appointment.

- The Comments are identical to Event in
- usage and are therefore discussed here
- with the Event.
- (Please note : Comments are NOT required to
- complete an appointment.)

- You may enter freeform up to 50 characters for
- the Event and each Comment (a total of 150).

- search appointments for a key word, phrase or
- group of words. These key words, phrases, or
- group of words may be embedded in the Event
- or either Comment and C A N S will locate
- that particular appointment (or appointments)
- for you.

- C A N S will let you maintain an extensive and complete
- Names file. You may retrieve entries while in C A N S or
- from DOS, at the 'c prompt' using either the first name or
- surname (as defined below). You may group Names for reports,
- for mail merges, export Names by group and even archive
- Names by grouping.

- Please note - - When accessing Names from the main menu,
- C A N S goes directly into EDIT mode. You may, of course,
- change to ADD mode.

- C A N S makes it easy for you to make/record appointments
- from Names. Press function key 5 (F5) and C A N S takes you
- to Appointments, uses the name as the event and positions
- the cursor at the date input line. Once you have completed
- your activities in Appointments, C A N S returns you to
- the place in Names you started from.

- NOTE : If you wish to make a phone call and don't
- recall the number of the party you wish to call,
- retrieve the name (by first name or surname) either
- from the 'c prompt' or while you are in C A N S.

- If you wish to set up an appointment, simply press F5

- If you wish to document an event or call, SIMULTANEOUSLY

- you to Appointments, uses the name as the event, uses the

- completed your activities in Appointments, C A N S returns
- you to the place in Names you started from.

- they are recorded. To that end, these DocuDates MAY NOT
- be edited or changed. You are, of course, able to delete
- them either individually or in groups.

- Two items are crucial for effectively using Names to its
- utmost !

- 1) The Surname - Established by placing an asterisk("*")
- while in either ADD mode or EDIT mode immediately
- before the portion of the name you wish to 'designate'
- as the surname.

- ABC Enterprises

- Entered as - Albert W. *Smith
- *ABC Enterprises

- C A N S will 'strip' the asterisk from your entry when
- you press ENTER, never to be seen again. If you wish to
- check your designation of the surname, you may press
- SIMULTANEOUSLY the alt key and function key 6 (ALT+F6).
- The surname is highlighted for you.

- C A N S uses the surname to alphabetize your rolodex
- and also for most retrieval purposes.

- 2) The Grouping - Establishes blocks of related entries
- (i.e., family members, business associates, sales
- leads, etc.)

- Valid group identifiers are single alphabetic
- characters. C A N S is case sensitive in this
- instance, i.e., "A" (uppercase) is distinctly
- different from "a" (lowercase). In effect, you may
- maintain 52 different groups of names.
-
- C A N S provides internally an index of group
- identifiers to assist you in 'tracking' your groups.
- You may press the 'alt' key and 'g' simultaneously
- (ALT+G) to have C A N S present a window displaying
- all of the valid groups. You may add, edit or delete
- any item.
- This feature is available at any point in the Names
- section and also, at all points where groups may be
- utilized (i.e., reports, utilities ).

- The Surname and the Grouping may be edited at any time
- (added, changed or removed). However, it should be
- clear that you can save time by initially devising a
- good idea of how you intend to use the rolodex and
- following through with your planned use.

- UTILITIES

- Many of the following options allow you to use
- the group identifiers to block or batch process
- names for that particular operation. C A N S
- will prompt you for the first and last group
- to be included. You may use function key 1 (F1)
- at each prompt to indicate your choice or you may
- use the F1 key in combination with a group
- identifier.
-
- Please note that C A N S will not allow you to
- use a character for the last group which is lower
- than the first group. For C A N S, the lowest
- identifier is "A" (uppercase) and the highest
- identifier is "z" (lowercase). Entering "a" in
- response to the prompt for the first group and
- then entering "M" in response to the prompt for
- the last group will cause C A N S to issue its
- friendly warning (BEEP).

- If you have decided not to use a group identifier
- for a name, using F1 in response to the prompt for
- the FIRST group will cause any ungrouped names to
- be included in your request.
-
- Delete Appointments
- This option allows you to delete blocks of
- appointments as they become 'stale', such as
- weekly, monthly; whatever frequency suits your
- needs the most.
-
- You may preserve certain types of appointments by
- opting NOT to delete "T" or "D" type entries.
-
- C A N S will NOT delete these unless you
- explicitly instruct it to do so.
-
- Delete Names
- This option allows you to selectively delete
- names by groups. This option is most useful, for
- example, if you maintain sales leads for a certain
- period of time. If you wish to maintain these
- names and yet clean your names file up, you may
- wish to archive these names before deletion.

- Archive Names
- This option allows you to copy names by group to a
- separate archive file (Archive.MDB). This process
- does NOT delete names as they are archived.

- C A N S checks your entries as they are being
- archived. If the Name-1st Line in the current working
- rolodex matches a name in Archive.MDB EXACTLY,
- C A N S simply copies over the existing entry in
- the archive file with the current entry being
- transferred from Names.MDB.

- If you should make even the slightest change in
- the Name(1st Line), C A N S assumes a NEW entry
- and appends this to the end of the archive file.

- Retrieve Archived Names
- This option allows you to copy names by grouping
- from your archive file back to your current
- working copy of Names.MDB.

- C A N S appends all retrieved names to the end
- of the Names.MDB file even though a duplicate may
- already reside in the Names.MDB file.

- Export Names
- This option creates an ASCII delimited file
- on disk with the names as selected by you using
- the group identifiers.

- The file created is entitled "Names.PRN" and will
- be located in the current working directory. The
- first 'record' will contain the field names with
- succeeding records containing all of the data
- you have entered for each name. In addition, each
- 'record' will contain blank fields for those items
- that you chose not to use for any given name.

- C A N S makes it easy for you to add groups of
- names to its Names file. These names MUST exist in
- an ASCII comma delimited file named Cansimp.ASC

- instructions on importing names.

- Mail Merge
- This option creates an ASCII delimited file
- on disk with the group of names as selected by you
- using the group identifiers.

- This file is much the same as "Names.PRN" as noted
- above. In addition, C A N S includes in
- "Names.MRG" the first name split into 2 segments :
- the surname (as defined above) and that portion of

- Included in your C A N S package is a file,
- "Namesmrg.MST", which you may wish to use in
- working with Wordperfect mail merge operations

- Wordperfect mail merge.

- C A N S mail merge is NOT restricted to users who
- prefer Wordperfect. Many popular wordprocessing
- programs accept ASCII delimited files for mail merge

- REPORTS
- Appointments
- Appointments may be retrieved either by date or by
- searching for a keyword or phrase embedded in the text
- of the Event or comments. Reports may be directed to
- the monitor or to your printer.
- Retrieval by date
- C A N S will prompt you for the first and
- last dates.
- For printed reports, you are given the choice
- of separate pages for each day or all
- appointments on one page (or pages, if
- necessary).
- C A N S will include all appointments within
- the specified range. You may, however, have
- C A N S exclude certain types of
- appointments (based on your PERM
- designation).

- Retrieval by keyword search
- C A N S will ask you for the keyword or
- phrase to search for. Your report will
- be a chronological listing of all
- appointments which contain the keyword or
- phrase as supplied by you.

- Note : C A N S is NOT case sensitive
- in its search. It converts your request
- to uppercase and treats text in your
- appointments as uppercase, also.
- It is not necessary for you to remember
- how you may have entered a particular
- word (with respect to capitalization).

- Note : When entering the keyword or
- phrase, be mindful that leading and
- trailing spaces ARE significant.

- For purposes of this example, assume "&"
- means a space.
- If you entered a number of birthdays in
- your calendar using the word 'birthday'
- in all of your entries and wish to
- retrieve them with a search using
- 'birth', C A N S will find them if you
- request 'birth'; C A N S will not
- retrieve them if you request 'birth&'.

- Rolodex Cards
- C A N S will print rolodex cards of all of your entries
- in your Names file. In addition, you may specify groups
- to be included. The cards will be printed in
- alphabetical order based on the surname you have
- indicated.

- C A N S will include all data available on the input
- screens. This requires that you use a 3 x 5" card for
- the print operation. Position your printer's print head
- in the upper left most corner of the first card to be
- printed.

- Mailing Labels
- C A N S will print mailing labels of all your entries
- in your Names file. In addition, you may specify groups
- to be included. The labels will be printed in 'zip code
- order' and then alphabetized (within the 'zip code
- order') based on the surname you have indicated.
- C A N S will require a 3 1/2 x 15/16" mailing label.
- C A N S will print the following data in the format as

- operations. This process is outlined and illustrated below.

- 1) Export the contents of your present database to an ASCII
- comma-delimited file. Rename that file to 'Cansimp.ASC' and
- ensure this file is located in the current working directory
- (i.e., 'c:\cans').

- 2) Using a text editor or other means, identify the components of
- Cansimp.ASC.

- 3) Select 'Import Names' from C A N S utilities menu and cross
- reference the Cansimpt.ASC components to C A N S data layout.
- C A N S does NOT require that you use all the information as
- provided in the exported file. In addition, C A N S allows you
- to 'construct' whole items from the components and use the

- WORDPERFECT MAIL MERGE
-
- The following are procedures you may wish to follow in
- constructing a secondary file to be used in a mail merge
- utilizing Wordperfect (ver 5.1).
-
- You may wish to consult your Wordperfect documentation
- for a more detailed discussion of mail merges in general.
-
- 1) From C A N S utility menu, chose 'Mail Merge' and
- generate your data file of names, etc.
-
- 2) Copy Namesmrg.MST to the directory you have chosen to
- maintain your Wordperfect documents in. You will probably
- wish to maintain a master copy of this file in 'c:\cans'
- and use a working copy for Wordperfect.
-
- 3) From within Wordperfect, choose to RETRIEVE Namesmrg.MST.
-
- 4) Locate the cursor BELOW the hard page break.
-
- 5) Choose RETRIEVE file and open '\cans\names.MRG'.
-
- 6) Wordperfect will then ask you what file format you want
-
- it to convert '\cans\names.MRG' from. Your response
-
- should be 'ASCII delimited text'.
-
- 7) Wordperfect will then combine Names.MRG and
- Namesmrg.MST into one document which is your secondary
- file.
-
- 8) Choose to save this file (SAVE AS) under any name you
-
- wish to associate with this document. This will
-
- preserve Namesmrg.MST 'as is', ready for your next
-
- mail merge operation.

- Wincans.EXE
-
- Wincans is a launch pad for C A N S from Windows 3.1. You must
- have VBRUN300.DLL in order to use Wincans. This file is quite
- large and, hence, not included with this package. However,
- VBRUN300.DLL is a freely distributed file (no copyright
- infringements for distribution ) and is available from many BBS.
- If you have any problems locating VBRUN300.DLL, please contact me
- - I will do what I can.

- Wincans gives the Windows user all the command line function
- capabilities which the DOS C A N S user enjoys.
-
- You may place Wincans within a Windows group panel as you might
- with all other Windows applications. Or, you might consider
- having Windows 'load' ( not necessarily 'run' ) Wincans when you
- start Windows. To do this,
-
- 1 ) Using Windows, choose 'run' from the File menu.
- Enter 'sysedit' and choose O.K.
-
- 2 ) Windows then presents 4 files cascaded on your monitor.
- Choose 'close' from the control button ( far upper left
- corner ) for the first 3.
-
- 3 ) Within 'system.ini', very close to the top of the file,
- locate 'load='.
-
- 4 ) APPEND to the end of this line :
- A blank space (a blank space MUST separate
- entries ),
- The full path of C A N S location and then
- '\wincans.exe'.

- Example : Assuming you place C A N S in c:\cans and there
- are no other entries on this line in 'system.ini',
- it would read:
- 'load = c:\cans\wincans.exe'.
-
- You may then 'switch to' C A N S from within ANY Windows
- applications which provide the control button ( virtually
- all do ).

- When you are finished with a session of C A N S and return
- to Wincans, again chose to 'switch to' your other
- application(s) - choosing to 'close' from within Wincans
- will terminate Wincans for that Windows session.

- YOU MUST LOCATE Wincans IN THE DIRECTORY IN WHICH YOU HAVE
- INSTALLED C A N S. YOU MUST HAVE Vbrun300.dll LOCATED IN
- C:\Windows\system DIRECTORY.
